Trust and transparency

Terms of use

These terms govern access to and use of FormDone. By creating an account or using the service, users confirm that they have read these terms and will use the platform lawfully and responsibly.

Last updated: August 13, 2026

1. The service

FormDone lets users create question structures, publish them through a link and QR code, receive responses, review and export results, and reuse structures as templates. Feature availability may depend on technical configuration and reasonable abuse controls.

The service is free for normal use. Free access does not authorize mass automation, disproportionate resource consumption or conduct that affects other users.

The no-registration mode provides time-limited forms. Management depends on a browser cookie and access cannot be recovered if that cookie is deleted, expires or another device is used. Creators must export any responses they need to retain in time.

2. Accounts and legal capacity

Users must provide accurate information, protect their credentials and remain responsible for activity under their account. Accounts may not be shared or made available for unauthorized access.

Anyone lacking legal capacity must use the service with authorization and supervision from a legal representative. Creators are responsible for checking applicable rules when forms are directed to minors.

3. Creator obligations

By creating or publishing a form, users agree to:

  • Define a lawful, clear and proportionate purpose for collection.
  • Request only necessary data and tell respondents who collects it and why.
  • Obtain required authorization or consent and honor individual rights.
  • Set availability correctly, close the form when appropriate and protect access to responses.
  • Not represent the platform as organizer, sponsor or controller of their activity.

4. Content and technical license

Users retain their rights and responsibilities over forms, templates and responses and represent that the content may be lawfully processed and hosted.

Users grant the operator a limited, non-exclusive license, revocable when service ends, solely to host, technically reproduce, transmit, back up and display content as required to provide and protect the platform.

5. Public links

Public links are difficult to guess but are not passwords. Creators decide who receives them and accept the risk of redistribution. The platform may close or block a form in response to abuse, a lawful order or risk to third parties.

6. Prohibited uses

The service may not be used to:

  • Break the law or infringe copyright, privacy, data protection or other third-party rights.
  • Send spam, impersonate others, mislead respondents or collect data fraudulently.
  • Request credentials, financial data or sensitive information without necessity and adequate safeguards.
  • Distribute malicious code, bypass controls, probe vulnerabilities or impair service availability.
  • Resell, automate or exploit the platform beyond reasonable use without authorization.

7. Suspension and termination

The operator may limit, suspend or close accounts and forms to contain abuse, protect others, comply with law or remedy a breach. Where reasonable, users will have an opportunity to correct the issue or export their information.

Users may stop using the service and delete their account from Settings. Any information they need should be exported beforehand.

8. Availability and liability

The platform is provided with reasonable care but may be interrupted by maintenance, third-party failures, incidents or events outside the operator’s control. Continuous availability is not guaranteed, and users should not rely on the service for critical legal obligations without additional safeguards.

Nothing in these terms excludes liability that cannot lawfully be limited. Otherwise, each party is responsible for direct loss attributable to it and must take reasonable steps to prevent or mitigate loss, including periodic exports of important information.

9. Governing law and changes

These terms are interpreted under the laws of the Republic of Colombia, without limiting mandatory protections that may apply to a user in another jurisdiction.

Material changes will be communicated reasonably. Users who do not accept them may stop using the service and delete their account before the changes take effect.
